ABOUT THE ROLE AND OUR TEAM:

The Benefits Administrator will be responsible for all employee benefit programs within our company. Our benefit plans play a key role in employee satisfaction and retention. Strong ability to quickly gain an expert-level understanding of our plan designs, regulations, HR systems, procedures, and regulations is a must. This is an extremely important role, handling highly sensitive and confidential data. This role is a customer-facing position, interacting with our most important clients - our employees! This role will be located in our Chevy Chase MD office.

RESPONSIBILITIES: 

  • Assist Total Rewards Manager in designing and executing global wellness program 
  • Assist in planning and executing all benefit programs including but not limited to Benefit Fairs, Open Enrollment initiatives, and other various efforts
  • Oversee maintenance of employee benefit files and maintain group benefits database
  • Coordinate and manage all leave of absences across US employee base
  • Process claims or requests (insurance plans, workers compensation, etc.)
  • Ensure accurate reconciliation of monthly carrier premiums & partner with the Finance team on timely payment
  • Manage employee benefit enrollments and determine employee eligibility
  • Handle all benefit-related compensation
  • Manage all reimbursement procedures
  • Manage HRIS benefits portal for enrollments, approvals, and accuracy
  • Provide customer service support to internal and external customers
  • Develop communication tools to enhance understanding of the company's benefits package; design and distribute materials for benefits orientations, open enrollment and summary plan descriptions
  • Collaborate and maintain professional relationships with all stakeholders, including but not limited to, Finance & Accounting, Payroll, FP&A, Executives, employees, benefit carriers, benefit brokers, and more.

SUCCESSFUL BENEFITS ADMINISTRATOR CANDIDATES HAVE:

  • Bachelor’s degree required
  • Computer proficiency and technical aptitude with the ability to use Microsoft products, including PPT, excel, experience with HRIS and benefits database
  • Demonstrates self-confidence, positive energy and enthusiasm 
  • Experience working with multiple stakeholders
  • Ability to thrive in fast-paced environment, multi-task, prioritize effectively, and adhere to tight deadlines and quick turnarounds
  • Comfort in managing through ambiguity and change management 
  • Results-oriented drive with strong work ethic and business acumen 
  • Excellent, clear, and concise written and verbal communication skills
  • Comfort with face-to-face interaction with internal customers
  • Ability to operate with confidentiality while having access to highly sensitive, private, and confidential data
  • Ability to support multiple projects simultaneously 
  • Strong command of the English language is essential

DESIRED SKILLS/EXPERIENCE:

  • Experience in working with global cross-functional teams
  • Experience working with remote teammates and stakeholders
  • Excellent written and verbal communication and organization skills
  • Considerable knowledge of laws, regulations, principles, procedures and practices related to Human Resources.
  • Fluency in both Spanish and English is a plus
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements

The Coordinator, Office Experience is responsible for delivering an exceptional client experience. You will play a key role by managing the lobby area, delivering great first impressions and welcoming guests. We are looking for a positive self-starter who is eager to thrive in a dynamic environment and deeply passionate about providing high quality administrative support. Are you outgoing, friendly and flexible?

RESPONSIBILITIES:

  • Point person for first impression for all guests and interview candidates 
  • Manages all employee questions and provides a white glove experience
  • Maintains the office and conference room cleanliness
  • Restocks reception pantry 
  • Escalates requests to facilities manager when needed
  • Assists with vendor management alongside Facilities Manager (in DC) and HR partner on site. Including but not limited to: coffee management, snow removal, parking lot paving and plumbing.
  • Helps as an administrator for the LiveSafe safety app and is well-versed in how to use it
  • Manages internal powerpoint for office space with open positions, birthdays and anniversaries each week.
  • Helps support Google calendars and is an administrator to assist with booking needs for all employees as well as recruiting interviews
  • Greets all visitors and provides a white glove experience to all guests and manages incoming guest list daily
  • Creates New Hire swag bags, name tags, orientation schedules, ID badges and Candidate Interview Folders
  • Manages Guest ID badges that are checked out each day and ensures they’re accounted for or deactivated at close of business each day
  • Contributes to and updates office supply regularly
  • Adheres to budget when ordering supplies for office
  • Assist with internal events including but not limited to: set up, break down, calendar management, catering 
  • Acts as a liaison when planning office events with the Employee Experience team (including but not limited to happy hours, holiday events and pop ups)
  • Maintains budgets and submits receipts for both Office and Employee Experience spend

RESPONSIBILITIES:

  • Collaborates and executes on broader internal communications strategy
  • Manages the editing, optimal scheduling, and dissemination of:
    • Weekly Newsletter
    • CEO Communications
    • All Hands facilitation and message alignment
    • Monthly Town Hall execution
    • Facilitating Lunch & Learns & Speaker Series Events
    • Crisis Communications in close partnership with PR team
    • Departmental and team messaging support 
  • Assists with department-specific and organization-wide projects and events such as departmental summits and company-wide events
  • Oversight and management of the Employee intranet
  • Closely partnering with the PR team, prepares internal spokespeople for speaking engagements, including composing talking points
  • Employee training on communication channels - best practice on use, frequency, modes, channels
  • Manages communications matrix - who send what to whom and how
  • Manages Careers Page/About Us page on Corporate Website
  • Researches and implements new tactics, tools, and channels to enhance the effectiveness of internal communications 
  • Establishes and tracks metrics to evaluate communication impact
  • Builds and cultivates strong relationships with individuals across the organization to proactively identify content to share with employees.

SUCCESSFUL MANAGER, INTERNAL COMMS CANDIDATES HAVE:

  • Proven track record of developing a wide range of written content for employee audiences including emails, blogs, video scripts, and intranet content.
  • Strong organization, program management and content development skills, with a demonstrated ability to meet milestones, meet tight deadlines and communicate status on concurrent projects
  • Experience managing employee communications pertaining to confidential, sensitive information. 
  • Must possess the ability to translate complex subjects into simple, digestible, and compelling messages and narratives.
  • Ability to exercise discretion in handling proprietary, sensitive confidential information.
  • Exceptional working knowledge of communications best practices and ability to guide corporate messaging with diplomacy, tact, and sensitivity for all audiences.
  • Experience developing, editing, and producing digital communications including emails, e-newsletters, blogs, web/intranet content, and digital media.
  • Sensitivity to the cultural variances across different countries.
  • Minimum of 5 years' experience in marketing and communications, preferably with some experience in the technology industry; experience in applying marketing concepts; branding and message development skills.
  • Bachelor's degree required, prefer in marketing & communications, journalism or related. Technology industry marketing experience preferred
